Effective or active listening is going to be one of your most important assets.   This involves:

  • Observing the speaker’s body language and behavior
  • Avoiding interruptions
  • Providing feedback through verbal and non-verbal cues

By listening actively, you demonstrate respect for the speaker and increase the likelihood of understanding their message correctly. 

2. Clarity and Conciseness

When communicating, always strive for clarity and conciseness. It might not be the same for you but I find when ever I am challenged with understanding what epople are saying, it is like I have unhelpful default responses I risk falling into if I’m not careful. Not all the time but it can rear its ugly head now and again. Yet when people are clear in their communication, it is easy to act, and move forward. 

Having clarity and conciseness means:

  • Using simple, straightforward language
  • Avoiding unnecessary jargon or technical terms
  • Being specific and to the point
  • Asking yourself “why” to ensure your message has a clear purpose

It truly reduces the risk of misunderstandings, reduces rework and helps maintain the listener’s attention. 

3. Empathy and Open-mindedness

To overcome barriers related to different perspectives or cultural backgrounds, somtimes you need to make sure you have examined all aspects so you are able to speak and discuss them with some clarity:

  • Try to see things from the other person’s point of view. Put your pride aside and be empathetic.
  • Keep an open mind, especially in stressful situations. Approach with open questions instead of statements. If we can get them to own the need for the conversation, it will go smoother. 
  • Recognise that differences in understanding are natural
  • Adjust your tone and body language to make the other person comfortable

4. Creating the Right Environment

The physical environment plays an important role in effective communication. To optimise it:

  • Choose a quiet location for important conversations
  • Ensure privacy when discussing sensitive topics
  • Minimise distractions like background noise or interruptions
  • Consider the timing of your communication, avoiding busy periods if possible

5. Leveraging Technology Wisely

While technology can sometimes create barriers, it can also be a powerful tool for overcoming them. Learn to use the technology well, so that you reduce barriers. Include activities that all people can do, even when on the otherside of a screen. Tips include:

  • Use collaboration platforms to facilitate communication across distances
  • Provide training on communication tools to ensure everyone can use them effectively
  • Ensure reliable IT support to minimize technical disruptions

6. Cultural Sensitivity and Awareness

Cultural barriers are common. To address them:

  • Educate yourself about different cultural norms and communication styles
  • Avoid assumptions based on stereotypes
  • Be patient and ask for clarification when needed
  • Consider offering language training or translation services in diverse teams
